CUSTOMER CARE/ADMIN REPRESENTATIVE

Position :        Customer Care Representative

Reporting to: Managing  Director  or Human Resources Manager

Our client esteemed located within Nairobi CBD deals with purchase and sale of electronics appliances would like to hire a Customer Care Representative.

ROLE OBJECTIVES/ MAJOR RESPONSIBILITIES AND KEY TASKS

  • Receive all walk-in visitors and direct them to relevant department or persons  for assistance
  •  Make  sure  all  enquiries  have  been  attended  to, to customer satisfaction
  • Make sure all customer enquires received by email, phone personal visits or post have been recorded and relevant personnel have been informed  and  action taken
  • Make all company visitors comfortable when in the company premises
  • Listen and report in writing all customers complaints to top management and follow-up until complaints are fully addressed

 

Tasks

  • Compiling of  all quotations and scan the relevant brochures  to be attached to the quotation
  • Typing of all calibration certificates  and  data  sheets
  • Receiving and distributing mails(or passing information to relevant persons) and sending out mails
  • Providing administrative support to all staff through drafting of official correspondence, Proof reading  any  letter  to  be  sent  to  customers and all clerical duties
  • Compose and distribute interdepartmental memos while maintaining confidentiality
  • Confirm appointments with customers for all staff especially the sales  and  service  personnel
  • Attend and take minutes in all company meetings and have minutes ready within 24hrs
  • Take and relay all messages to the relevant departments
  • Supervising the  messenger   in  the  cleaning  duties  and other  hygienic  requirements  in  the  company  premises
  • Maintain updated  record  books  including;- REQUESTS SENT  AND QUOTATIONS  RECEIVED FROM SUPPLIERS, GEN MESSAGE BOOK to the MD MESSAGE QUOTATIONS/TENDERS/ PREQUALIFICATION  TO CUSTOMERS and NEW JOBS RECORD  BOOK
  • Organize all files in orderly manner and make sure documents are filed properly
  • Generate and distribute newsletter to all customers in different supply fields
  • Any other duties assigned by  the  managerial team
  • Present the following reports and submit to the managing director: PREPARE WEEKLY PROGRESSIVE REPORTS SHOWING ACHIEVEMENTS AND OBJECTIVES SET WEEKLY

Academic qualifications:

  • Must have a minimum of a Diploma
  • Must be computer literate
  • Must have a 1-2 years progressive of work experience in the same position
